Why we value your privacy

We value your privacy as much as we do our own, so we are committed to keeping your personal, business, and financial information safe. We ask for only the information reasonably needed to operate SmartLedger and related services. We will never sell your personal or financial information, and we will not give anyone access to it unless it is necessary to provide the service, required by law, or needed to protect the security and integrity of our systems.

How we collect information

We collect information when you contact us, use SmartLedger, submit information through our website, or connect financial accounts through supported integrations such as Plaid. We may also collect administrative, technical, and security-related information from your use of the application, including session activity, device or browser details, and error logs. In limited cases, we may receive contact or business information from trusted partners or service providers, and if we do, we protect it in the same way as information you provide directly.

What information we hold

Depending on how you use SmartLedger, we may collect and store:

Your name, email address, phone number, business name, and related account or profile details
Bookkeeping, ledger, invoicing, and financial records entered into SmartLedger
Financial account metadata, account balances, and transaction history retrieved through Plaid or connected financial institutions
Business records such as invoices, payments, statements, and related accounting information
Technical information such as IP address, browser type, login events, session details, and error or audit logs
Support or administrative communications you send to us

How we use information

We use your information to:

  • Provide, maintain, and secure SmartLedger
  • Support bookkeeping, reconciliation, reporting, invoicing, and related financial workflows
  • Connect and synchronize financial accounts through Plaid and other supported integrations
  • Review and import financial transactions into the application
  • Respond to enquiries, support requests, and operational issues
  • Send account, billing, service, or administrative communications
  • Comply with legal, tax, accounting, recordkeeping, and security obligations

How financial data and Plaid are used

SmartLedger may use Plaid to connect financial accounts. When you choose to connect an account through Plaid, we may receive account identifiers, account metadata, balances, and transaction data from Plaid and the connected financial institution. We use this information only to support SmartLedger features such as account connection, transaction review, bookkeeping, reconciliation, and reporting.

We do not sell financial data received through Plaid.

Where we store information

We store information in SmartLedger systems and supporting service providers used to operate the application. Depending on the service being used, information may be stored in application databases, administrative systems, email systems, hosting infrastructure, backups, or third-party providers such as Plaid. We take reasonable steps to use providers and systems that support appropriate security protections.

Who we share information with

We do not sell your personal information. We may share information only in limited circumstances, including:

  • With service providers or infrastructure vendors that help us operate SmartLedger
  • With Plaid and connected financial institutions when you choose to use account connection features
  • When required by law, regulation, subpoena, court order, or similar legal process
  • When reasonably necessary to protect the security, integrity, legal rights, or operation of SmartLedger, Xenoplexus, or our users
  • In connection with a business transfer, reorganization, or sale, subject to appropriate confidentiality obligations

Data retention

We retain information for as long as reasonably necessary to operate SmartLedger, maintain bookkeeping and financial records, comply with legal or contractual obligations, resolve disputes, investigate security issues, and enforce agreements. Financial, bookkeeping, and transaction records may be retained for longer periods where necessary for tax, accounting, legal, audit, security, or operational reasons.

Data deletion

We may delete, archive, anonymize, or de-identify information when it is no longer reasonably necessary for business, legal, security, or operational purposes. If you request deletion, we will review the request in light of applicable legal, bookkeeping, tax, fraud prevention, security, and backup-related obligations. Some information may need to be retained even after a deletion request for those reasons.

Who has access to information about you

We restrict access to information to the people who need it for legitimate business, administrative, security, or support purposes. For SmartLedger, that access is generally limited to the operator and authorized administrators. We do not give general access to your information to unrelated third parties.

The steps we take to keep your information private

We take reasonable administrative, technical, and operational steps to protect your information. These may include encrypted connections, restricted administrative access, strong password practices, MFA on internal systems where supported, credential and token protection, device security controls, and review of logs and operational alerts. Where information is stored in third-party services, we limit access to only those who need it.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to use safeguards appropriate to the nature of the information we process.
